ShiftUp keeps account plans and strategies current through two separate mechanisms:
  1. AI analysis refreshes — the ShiftUp AI platform regenerates plan and strategy content (narrative, hypothesis, confidence score, MEDDPICC, conversation roadmap). Only specific events start an analysis.
  2. In-org record syncs — Apex triggers in the managed package react to Salesforce record changes immediately, without re-running any AI analysis.
Editing an ordinary Salesforce record does not regenerate a plan or strategy on its own. Your CRM context flows into the AI’s next analysis pass instead.

What triggers an AI analysis refresh

An analysis runs when any of the following happens:
  • An account is added to a seller profile. ShiftUp generates the initial account plan, strategies, and stakeholder intelligence. See Add an account to ShiftUp.
  • A scheduled refresh runs. The default cadence is weekly, or daily for active accounts if your admin configures it. Admins can restrict who changes the cadence with the Frequency Edit Restriction setting in App Settings.
  • A user requests an on-demand refresh. Available from the ellipsis menu on an account plan.
  • A note is added. Saving an account plan note or a strategy note raises an integration event to the ShiftUp platform, which processes the new intelligence and refreshes the plan or strategy.
  • A ShiftUp meeting completes processing. See the next section.
Analysis refreshes are not instant. Depending on queue depth and the amount of research involved, a refresh can take a few hours to land.

How ShiftUp meetings drive refreshes

ShiftUp Meetings is one of the record changes that does drive AI refreshes:
  1. The notetaker bot records and transcribes the meeting. The ShiftUp platform extracts insights and writes everything back as Salesforce records: the meeting, transcript, participants, and links to accounts, opportunities, and contacts.
  2. When the meeting’s processing status reaches Completed, a trigger on the meeting record updates the matching calendar event so the meeting appears on the strategy Activity tab, and publishes an account plan refresh event to the ShiftUp platform for each affected plan.
  3. The platform incorporates the meeting insights on its next analysis pass. This can update the account plan, refresh existing strategies, or surface new ones.
Refresh scope is account-based: a completed meeting refreshes every active account plan on the meeting’s root account, resolved through the meeting’s linked records. Linking a completed meeting to an additional account afterward also publishes a refresh event for that account’s active plans. Links created before the meeting finishes processing wait for the completion event.

What Salesforce record changes trigger immediately

These reactions happen inside your org the moment the record changes. None of them re-run AI analysis.

Account owner changes

When a Salesforce Account owner changes on an account that has an account plan:
  • If Account Plan Owner Sync is enabled, ShiftUp changes the owner of the related account plans to the new account owner.
  • ShiftUp also restores the manual Account shares its plan owners, assignees, and recipients still need, because Salesforce removes manual shares on ownership transfer.

Opportunities closing

When a linked opportunity moves to Closed Won or Closed Lost, ShiftUp automatically archives the strategies linked to that opportunity with the archival reason Opportunity Closed - Won or Opportunity Closed - Lost.

Opportunity, task, and event activity

Inserting, updating, or deleting opportunities, tasks, and events marks the affected accounts’ workspace ranking signals stale. When the Enable ranking updates setting is on, rankings refresh within about ten minutes; a daily full re-rank always runs regardless. This affects workspace ranking only, not plan or strategy content.

What does not trigger a refresh

Ordinary edits to Salesforce records, such as changing an opportunity amount, updating a contact, or logging a call, do not regenerate plans or strategies on their own. Those changes influence workspace ranking within minutes and become part of the AI’s context at the next scheduled, on-demand, note-driven, or meeting-driven refresh.
